Chapter 9 - Entering Agents

General Tab 1

  • Select “New Agent” to start a new record
  • Enter name of agent:  to include middle initial (e.g., John B. Doe)
    • Note 1:  Agent record is initially used to create both the Vendor (check payee) and Customer (invoice recipient) record for an agent
    • Note 2:  Agent record name field is “not” used for the Agent 1099 Form; if agent is a corporation, the corporate name will be assigned via the vendor record
    • Note 3:  Can modify name format to LName, FName MI once record saved and Vendor/Customer records created
  • Enter address information
    • Note:  Address information entered here used for the Agent 1099 Form unless the Agent is corporation in which case vendor record address info will be used
  • Enter phone numbers as appropriate (just enter numbers; field will auto format record)
    • Home Phone Number (Required only for clients who use View My Listings [VML])
  • Enter e-mail address (Required only for clients who use VML)
  • Text e-mail address (Is populated from VML account)
  • Enter web address of your company
  • Enter agent’s license # and expiration date
  • Enter agent’s hire date
  • Enter agent’s termination date  Note: Can enter agent’s commission period End Year date in termination date field for use with Agent Expiring Details Report to project commission period expiration date
  • Enter SSN of agent
  • Assign agent to appropriate office
    • Note:  An agent can only be in one office
  • Enter position (Broker, Sales Associate, etc...)
  • Can use Team field to create/assign agent to a team
    • Double click in team field to bring up team setup screen
    • Enter Team names and click Done
    • Assign agent to appropriate team
    • Note: There are three reports for teams:
      1. Closed Business Report Detailed GCI Teams
      2. New Listings Teams
      3. Pending Business Report Detail Teams
